1. Introduction & Applicability
WebCultivation Technology ("WebCultivation", "we", "us", or "our") is committed to protecting the privacy, confidentiality, and security of business owners, merchants, drivers, jewellers, and enterprises who utilize our Munim Book mobile application.
This Privacy Policy strictly applies to the Munim Book Android application (com.webcultivation.munimbook), available on Google Play, and its related cloud data synchronization services. By installing or using Munim Book, you consent to the data collection and usage practices described in this document.
2. Information We Collect
We collect only the minimum information necessary to enable GST invoice generation, khata ledger tracking, receipt printing, and seamless cloud synchronization:
A. Business Profile Information (Provided by You)
When setting up your business billhead, you may provide: Business Name, Trade Name, Registered Address, GSTIN (optional for non-GST users), PAN, State, Contact Phone Number, Email, and Bank/UPI Virtual Payment Address (VPA) for printing dynamic UPI payment QR codes on invoices.
B. Transactional & Invoicing Records
Information entered during day-to-day operations: Item/product catalogs, prices, HSN/SAC codes, invoice numbers, customer and party names, phone numbers, payment statuses (Cash, UPI, Credit), credit/udhar ledger entries, and photographs of paper purchase receipts you choose to record.
C. Technical & Device Diagnostics
To ensure application stability across diverse Android phones and thermal printers: Device brand and model, Android OS version, unique app installation ID, IP address, and non-identifiable crash stack traces (via Firebase Crashlytics).
3. Android Device Permissions & Purposes
In accordance with Google Play Developer Policies, here is an explicit breakdown of the permissions requested by Munim Book, why each is necessary, and how you retain control:

4. How We Use Collected Information
Your information is processed strictly for legitimate operational purposes:
- To generate accurate GST tax invoices, bill copies, trip sheets, and customer payment receipts.
- To encode your UPI ID into dynamic Bharat QR codes so customers can pay directly into your bank account.
- To maintain your udhaar khata ledger balances, track receivables, and compute party-wise outstanding amounts.
- To synchronize your records with secure cloud servers when internet is active, preventing data loss.
- To diagnose technical crashes and deliver software stability updates and customer support.
5. Storage, Security & Offline Architecture
Munim Book is built with an offline-first design:
- Local Sandboxing: Your billing data is stored locally on your device within Android's protected app-private directory (SQLite / Room database), inaccessible to unauthorized third-party apps.
- Encryption in Transit: When synchronizing with WebCultivation cloud servers, all network traffic is secured using industry-standard Transport Layer Security (TLS 1.3 / HTTPS).
- Cloud Storage Encryption: Cloud backup snapshots are encrypted at rest using AES-256 standard encryption on ISO-certified data center infrastructure.
6. Third-Party Integrations & Tools
Munim Book integrates with trusted industry SDKs to provide critical infrastructure:
- Google Play Services: For application distribution, license validation, in-app billing, and automatic app updates.
- Firebase (Google LLC): Used exclusively for crash reporting (Crashlytics) and anonymized application performance metrics to resolve bugs.
- WhatsApp / Messaging Intents: When you share an invoice via WhatsApp, Munim Book triggers an Android system intent passing the PDF to the official WhatsApp app installed on your phone. We do not access your private WhatsApp conversations.
- UPI Payment Apps: Standard NPCI UPI URI intents are generated on-device. Munim Book does not handle, store, or process your bank PINs, OTPs, or debit card credentials.
7. Data Retention & Permanent Deletion Request
We retain your account and synchronization data for as long as your Munim Book account remains active. Because your data is your property, you have the right to request complete deletion of your account and all associated cloud data at any time.
How to Request Permanent Account & Data Deletion:
- Send an email from your registered email address to info@webcultivation.com with the subject line "Munim Book Data Deletion Request".
- Include your registered business name and mobile phone number associated with your Munim Book account.
- Our security team will verify your identity and process the complete erasure of your cloud backups, database entries, and profile from our production servers within 30 days.
- To delete local data on your phone immediately, you can simply clear app data in Android Settings > Apps > Munim Book > Clear Storage, or uninstall the app.
8. Your Rights Under Indian DPDP Act
In compliance with the Digital Personal Data Protection Act, 2023 (DPDP Act) and applicable Indian data protection laws, you possess the following rights:
- Right to Access: You can request a summary of the personal and business data being processed by us.
- Right to Correction: You can edit or correct outdated business or profile details directly within the App.
- Right to Erasure: You can request the permanent deletion of your synchronized records as described in Section 7.
- Right of Grievance Redressal: You have the right to have your privacy complaints addressed by our designated Grievance Officer.
9. Children's Privacy
Munim Book is a commercial business accounting tool intended solely for registered commercial enterprises, independent contractors, and adults of legal age (18 years and above). We do not knowingly solicit, collect, or process personal data from children under the age of 18.
